In an effort to secure your University email account, UMW is enabling multi-factor authentication (typically shortened as “MFA”).\u00a0 You will still use your email address and password to access your UMW email account, but you will also need another authentication mechanism to verify your identity.\u00a0 This can take the form of a phone call, a text message, or a notification to an app on your smartphone.\u00a0 Employing MFA on your UMW account will help prevent unapproved or malicious access to your account.<\/p>\n

We strongly<\/em> recommend setting up at least two mechanisms, the Microsoft Authenticator app and either a phone call or text message to a different number.\u00a0 This allows you to continue accessing your email in the event you lose or replace your phone.<\/p>\n

Instructions<\/h2>\n

Below are instructions for configuring MFA for your UMW email account using the Microsoft Authenticator app.\u00a0 You must remember to reinstall and set up the Microsoft Authenticator app if you get a new phone.<\/p>\n

  1. Log in to your email with your browser.\u00a0 Sign in using your @umw.edu (for faculty and staff) or @mail.umw.edu (for students and alumni) account username and password.
    \n\"\"<\/li>\n
  2. You should see a prompt that more information is required.\u00a0 Click “Next”.
    \n\"\"<\/li>\n
  3. The next screens will walk you through setting up the Microsoft Authenticator app.
    \n\"\"<\/li>\n
  4. Download the Microsoft Authenticator app onto your selected device.
    \n\"Microsoft<\/li>\n
  5. Open the Authenticator app.\u00a0 You will be prompted to agree with the Privacy statement.\u00a0 Tap “I agree”.
    \n\"\"<\/li>\n
  6. You will then be prompted to set up the Authenticator app.\u00a0 Select the “Scan a QR code” option.
    \n\"\"<\/li>\n
  7. Click “Next” on the computer.\u00a0 The computer screen will then display a QR code.
    \n\"\"<\/li>\n
  8. Scan the QR code with the app.\u00a0 The app should automatically detect the QR code with it comes within the indicated screen area on your phone.
    \n\"\"<\/li>\n
  9. After the QR code is processed, your screen should have an entry for “University of Mary Washington” with your email address.
    \n\"\"<\/li>\n
  10. When you click “Next” on the computer screen, you will be prompted to try out the Authenticator app.
    \n\"\"<\/li>\n
  11. You will be prompted to approve the request on your smart phone.\u00a0 Tap “Approve”.
    \n\"\"<\/li>\n
  12. After a second, the computer screen should update to indicate that the notification was approved.\u00a0 Click “Next”.
    \n\"\"<\/li>\n
  13. You will be prompted to create an application password.\u00a0 Enter an 8-character name and click “Next”.\u00a0 Continue following the instructions on the computer screen until the setup is complete.<\/li>\n<\/ol>\n

    Alternatives<\/h2>\n

    If you do not have a smart phone, you have the option to receive a code via text or a phone call.\u00a0 For either of these methods, follow the instructions above to step 4.\u00a0 Then click the link indicating “I want to set up a different method” in the lower left of the screen.\u00a0 Follow the instructions on screen to complete the multi-factor authentication setup.<\/p>\n

    1. Mobile Phone call or text:
      \nIf you do not have a smartphone, we recommend this option. Be advised that you must have access to your mobile phone in order to access your UMW email. You must also update the phone number for your mobile device if the number changes.<\/p>\n
        \n
      • After filling out the requested information, click the \u201cContact me\u201d button.<\/li>\n
      • If \u201cCall me\u201d is selected, you will receive an automated voice call to the registered number. Answer the call and press \u2018#\u2019 to authenticate.<\/li>\n
      • If \u201cSend me a code by text message\u201d is selected, then a text message will be sent to the registered device containing a verification code. Follow the instructions of the text and either reply to the text or enter the verification code into the sign-in interface.<\/li>\n<\/ul>\n<\/li>\n
      • Office Phone Call:

Spam is the electronic equivalent of junk \u201csnail\u201d mail sent to ‘Current Resident’.\u00a0 In recent years spam content has expanded to include offensive advertising, malicious content, and computer viruses.<\/p>\n<h2>What steps has the University taken to reduce unwanted e-mail?<\/h2>\n<ol>\n<li>Infrastructure Services maintains an enterprise spam classification system designed to allow easy filtering of unwanted content.\u00a0 The system identifies messages that are most likely spam by tagging the subject lines of the messages with [SPAM?] and lets you control how you would like to deal with these messages.<\/li>\n<li>You can create a rule in your email account to automatically move the tagged messages to a particular folder (usually the “junk” folder). This will allow you to examine the emails for “false positives” or “false negatives” (explained below).<\/li>\n<\/ol>\n<h2>Will these spam options be available if I forward my e-mail to another address?<\/h2>\n<p>If you forward to a non @umw.edu address, e-mail identified by the system as spam will still be labeled as spam.<\/p>\n<h2>What steps can be used to keep my address safe?<\/h2>\n<ul>\n<li>Do not provide your e-mail address to any companies or web pages you do not trust.\u00a0 It is a good idea to read their “privacy statement” as well to see how your contact information will be used.<\/li>\n<li>Make sure your e-mail address doesn’t appear on any web pages (e.g. search the web for your address).<\/li>\n<li>Start using spam filtering by following the instructions provided above.<\/li>\n<li>Delete spam messages without reading them.\u00a0 Many messages include web links to “phone home” to track active accounts.<\/li>\n<li>Do not respond to removal links or reply with “remove” to these messages.\u00a0 This is another technique used to verify e-mail addresses.<\/li>\n<\/ul>\n<h2>What if an email I receive is identified as spam, but it isn\u2019t? What if I am getting spam that is not being identified?<\/h2>\n<p><strong><span style=\"text-decoration: underline\">False Positives<\/span><\/strong> are messages that are NOT spam but were classified as spam by the e-mail system.\u00a0 These are very rare and usually are messages sent through electronic newsletters or to large numbers of recipients.<br \/>\n<strong><span style=\"text-decoration: underline\">False Negatives<\/span><\/strong> are messages that ARE spam but were not classified as spam by the e-mail system.\u00a0 People that send out spam are constantly looking for ways to get around spam filtering systems.\u00a0 These are more common.<\/p>\n<h2>How do I report False Positives?<\/h2>\n<p>We are very concerned with False Positives and it is very easy to report these to us by e-mail at <strong>HelpDesk@umw.edu<\/strong>. Place the words “False Positive” in the subject line along with the following information:<\/p>\n<ul>\n<li>Sender and recipient e-mail addresses<\/li>\n<li>Date and time the message was sent<\/li>\n<li>Subject of the message<\/li>\n<\/ul>\n<p>If the message is being forwarded to another address, we will need the info from your college email account, not the outside email system.<\/p>\n<h2>How do I report False Negatives?<\/h2>\n<p>To report a false negative first verify the message was not received because you were subscribed to an electronic newsletter. If the message is not sent to you because of an electronic newsletter subscription, you will need forward the e-mail to <strong>HelpDesk@umw.edu<\/strong> with the full spam message <strong><span style=\"text-decoration: underline\">including the message headers<\/span><\/strong>. Simply forwarding the message does not allow us to collect enough information to correct the situation. Place the words “False Negative” in the subject line.<\/p>\n<p>If the message is being forwarded to another address, we will need the info from your college email account, not the outside email system.<\/p>\n<h2>Where Do I Find Message Headers In My E-Mail?<\/h2>\n<h3>Outlook:<\/h3>\n<ol>\n<li>First double click on the message to open it.<\/li>\n<li>Go to the File tab.<\/li>\n<li>Choose the Properties button.<\/li>\n<li>You will need to copy and paste the headers into a new message and send it to HelpDesk@umw.edu.<\/li>\n<\/ol>\n","protected":false},"excerpt":{"rendered":"<p>What is spam?
