Managing Junk E-mail

The Junk E-mail Filter in Outlook is turned on by default, and the protection level is set to Low.  This level is designed to catch only the most obvious junk e-mail messages.  You can make the filter more aggressive, but if you do that it may catch legitimate messages sometimes.

  1. From the Navigation Pane, select Mail.
  2. Select a message from the contact for whom you wish to set a designation (I.e., junk or safe sender).
  3. On the task bar, click the Actions tab, then select Junk E-Mail.  A window will display containing options for handling junk mail.

You may click one of the options to perform the following actions:

  • Add Sender to Blocked Senders List.
    Adds the sender’s e-mail address to your Blocked Senders List and moves the message to the Junk E-mail folder.
  • Add Sender to Safe Senders List.
    Adds the sender’s e-mail address to your Safe Senders List.
  • Add Sender’s Domain (@example.com) to Safe Senders List.
    Adds all addresses originating from the sender’s domain to your Safe Senders List.
  • Add Recipient to Safe Recipients List.
    If you belong to mailing lists or distribution lists, you can add these names to your Safe Recipients List so that any messages sent to these e-mail addresses or domain names will not be handled as junk mail.
  • Mark as Not Junk.
    For an e-mail address previously marked as a junk sender, this option will remove the address from the junk sender list and return the message to its original folder.
  • Junk E-mail Options.
    Clicking this option will open the Junk E-mail Options window:

By clicking on the tabs within this window, you can access and maintain your junk e-mail options and lists.

Options that you have are:

  • No protection – Although this turns off the automatic Junk E-mail Filter, Microsoft Office Outlook 2003 will continue to evaluate messages by using domain names and e-mail addresses on your Blocked Senders List, and messages will continue to be moved to your Junk E-mail folder.
  • Low – If you don’t receive many junk e-mail messages and want to see all but the most obvious junk messages, you should select this option.
  • High – If you receive a large volume of junk e-mail messages, you should select this option. However, you should periodically review the messages moved to your Junk E-mail folder, because some wanted messages may be moved there as well.
  • Safe Lists Only – Any e-mail messages sent from someone not on your Safe Senders List or sent to a mailing list not on the Safe Recipients List will be treated as junk e-mail messages.
