The Print Preview option saves time and money by not printing spreadsheets over and over. This option displays the spreadsheet precisely the way it will look when printed.
To preview the print job:
Make the appropriate adjustments using the Print Preview Ribbon:
- Change the width of the margins and columns on the worksheet:
- Click the Show Margins button to display the handles.
- Drag the sizing handles to the appropriate place.

Change gridlines, page order, and other settings:
- On the Print Preview tab, click on the Page Setup button. The Page Setup dialog box will appear.
- Information about the options that can be changed here is found in the Page Setup section of this tutorial.

Page Break Preview:
- Check page breaks: On the View tab, in the Worksheet Views group, click on Preview Page Breaks.
- The Page Break Preview illustrates where page breaks occur on the worksheet and which area of the worksheet prints. Page breaks are solid blue lines, and automatic page breaks set by Microsoft Excel are dashed blue lines. Adjust the page breaks appropriately by clicking and dragging them. (To exit the Page Break Preview, choose Normal in the Workbook Views group.)
